Frequently asked questions
What should I confirm with my trade show booth builder?
Using the drawing or sketch you have, we work with your exhibit builder on screen placement, support, service access, cable routes, power and the installation sequence. The exhibitor manual helps confirm height limits and who is authorized to work during move-in. We agree on who supplies the structure and which construction, graphics or furniture services are ordered separately; LED and AV rental does not automatically include them.
Do you offer curved or shaped LED?+
Yes. We can review curved walls, cubes, columns and other LED shapes for your booth. Send a plan showing the footprint, height limit and viewing directions, plus a sketch or reference image. The cabinet geometry determines which curves and corners are possible; the content team then needs the final pixel map to place text and logos across those surfaces. Support and maintenance access are included in the layout review.
How much rehearsal time should we schedule?
It depends on the program. Send the number of speakers, presentations, videos, remote guests and live cues. A simple slide presentation and a multi-camera show need different preparation. We plan time for content checks, microphones, transitions and the people who call or perform the cues. Rehearsal needs access to the actual room and relevant presenters, not only the equipment.
Does the AV rental include building the trade show booth?
Rent AV equipment and add the technical services your booth needs. We coordinate screen dimensions, support, power, cabling and installation with your exhibit builder. Our quote identifies what is included and what is ordered separately: booth construction, furniture, graphics, rigging and electrical services. Send the drawing or sketch and, if available, the exhibitor manual so we can review these points before you confirm.

What we need to quote your booth
Start with the show name and dates, venue and what you want visitors to see. Add the booth number, dimensions and heights, drawing or sketch, exhibitor manual, move-in and move-out times, content and requested services as they become available. We can review options with the information you have and identify what is still needed for a quote.
Rent equipment on its own or add setup, testing and operation. We also quote audio, lighting and power distribution according to the project. We review the exhibit builder’s work and venue-exclusive services with you so they can be coordinated with our installation.

Practical questions before you book
Can your crew perform every task inside a convention center?
We review the exhibitor manual and labor rules to plan which tasks our crew can perform and which require the venue, show organizer or appointed contractor. These may include unloading, rigging and electrical connections. We identify the services you need to order through them so installation can be coordinated; equipment availability does not authorize restricted work. If you do not have the manual yet, we can start by identifying the details that need confirmation.
What video and presentation files should I send?
We coordinate the final screen pixel map and playback requirements before you export. Send the presentation with its fonts and linked media, and provide original video files rather than messaging-app previews when possible. Label the final version and playback order. We check resolution, aspect ratio, audio and cue points. If you need content editing or creation, we quote it separately unless it is already included.
Can you load in overnight or outside normal venue hours?
With the actual access window, we can review crew availability, delivery arrangements, security and approval for overnight or early-morning work. If access is not confirmed yet, share the proposed schedule and we will identify that check as pending. We allow time for unloading, installation and testing; special schedules or a second crew call may affect the cost and are reviewed before the schedule is confirmed.
