Marriott Marquis Washington, DC: rigging, services and production deadlines
Marriott Marquis Washington, DC is at 901 Massachusetts Avenue NW. ID MARRIOTT-MARQUIS-DC identifies the hotel; its pedestrian connection to the Walter E. Washington Convention Center does not make them one venue or establish a freight route. This preparation guide does not establish bookings, permits or past GLMedia work.
Which space and manual edition apply?
The complete 14-page production manual was reviewed: the cover identifies 2026, states it is effective January 2026, and the final page says updated October 2025. It is production documentation, distinct from a marketing capacity page. Confirm the revision applicable to your contract with the hotel.
Marriott’s Capacity Chart lists Marquis Ballroom at 30,600 sq ft and a 22 ft height; Liberty and Independence Ballrooms each at 10,854 sq ft and 20 ft. These are references for the complete rooms, not approved trim heights or structural capacities. Encore offers CAD files labeled Grand Ballroom and Junior Ballroom; confirm room and division correspondence before using them.
Which deadlines does the manual publish, and which need clarification?
The table distinguishes references within the manual. Deadlines may use load-in, the event or arrival as their starting point; document delivery does not establish approval. Obtain a written event calendar, especially where the document differs.
| Topic | Manual reference | Confirmation needed |
|---|---|---|
| Fire Marshal plans | 45 days before load-in; p. 4 | Scope and written hotel/authority approval. |
| Rigging and diagrams | 30 days; pp. 4 and 6 | Page 6 refers to the function; establish the reference date. |
| Production schedule | 30 days in summary; 14 days in table/text; pp. 3–5 | Resolve the difference before planning. |
| Insurance / COI | 30 days before load-in on p. 4; 5 business days before arrival on p. 11 | Confirm submission and acceptance dates. |
| Power and dock | 14 days; pp. 7 and 9 | Power before the event; dock before load-in. |
| RF, contacts and permit copies | 3 days before load-in; p. 4 | Do not confuse final copies with permit application deadlines. |
How should rigging be prepared, and which limits remain unverified?
The manual assigns all truss-up connections, including truss, motors and points, to Encore and prohibits outside rigging equipment. It requests CAD and complete weights, and prohibits attachment to sprinkler heads or airwall tracks. Banners are coordinated through Encore and may not attach to HVAC, plumbing or electrical systems.
For items over 100 lb or at least 10 ft long, it specifies a chain motor or hoist. That threshold is not ceiling-point WLL. Point capacities, combinations and remaining capacity were not verified. Submit positions, complete weights, accessories and forces for review; a rental package does not establish structural capacity.
Which systems are reserved, and what must an outside provider supply?
The manual distinguishes the preferred provider, exclusive systems and outside equipment. Do not summarize it as overall AV exclusivity: another AV company is permitted subject to conditions. Confirm each service and cost in the contracted scope.
| System | Scope under the 2026 manual |
|---|---|
| House audio | Exclusive use by Encore; the outside provider supplies a complete audio package. |
| Rigging | Encore support, equipment and truss-up connections; outside rigging equipment prohibited. |
| Power | Encore coordinates with the in-house electrical service; certified/master electrician for high power under the manual. Confirm circuits and distribution. |
| Meeting-space internet | Encore is the exclusive provider; outside routers and switches need prior approval. Confirm capacity and network. |
| House lighting | Control and programming by Encore; controller reservation stated as 14 days before load-in. |
How are the dock, route and floor protection coordinated?
The document calls for dock requirements 14 days before load-in, including times, vehicle count and vehicle profiles. Vendors enter through the loading/staff entrance and check in with Security. Front-entrance vendor access and blocking fire lanes are not allowed. The manual restricts overnight parking; any exception needs authorization.
Carts and handling equipment are not automatically supplied. The manual prohibits pallets and pallet jacks in foyers and the lobby, requires approval of indoor handling equipment and protected wheels before ballroom entry, and calls for heavy-duty runners when moving crates over 500 lb and padding at doors. That weight triggers protection, not an allowable floor load.
Area, wheel and concentrated support limits, usable door and freight-elevator dimensions, and an accepted route and appointment remain unverified. For ground-supported LED, prepare base reactions and load distribution. FedEx parcel receiving and the Convention Center walkway do not establish production freight, custody or routing.
What does the document require for RF, haze and other effects?
Outside providers must submit wireless frequencies for Encore approval and avoid interference with hotel systems. The document table calls for the RF list 3 days before load-in. Local coordination does not replace authorization to use spectrum; an event-specific RF plan was not verified.
For pyrotechnics, fog, lasers and similar effects, the manual requires hotel and Fire Marshal approval, documentation 30 days before the event and coordination of fire-safety staffing. Indoor haze is restricted to water-based equipment inspected and approved beforehand; this is not automatic permission. Flame-retardancy certificates are requested 14 days before load-in.
DC’s Office of the Fire Marshal identifies its technical branch as responsible for plan review and operational permits within its remit. Hotel acceptance and an authority-issued permit are separate steps. Confirm the classification, process and conditions for the specific effect.
What staffing, insurance and documents does an outside provider need?
The manual requires an Encore liaison during ballroom installation and removal, pre/post inspections, staff check-in and authorized contacts. Obtain coverage, hours and a quote; do not assume a published rate includes the full operation.
The Insurance section requests a certificate with at least USD 5,000,000 general liability per occurrence and named additional insured entities. Review the wording, entities and requirements with the hotel and your insurer. The table calls for a COI 30 days before load-in; the detailed section mentions approval at least 5 business days before arrival. The shorter interval is not treated as authorization.
What remains to be accepted before finalizing production and the budget?
Accepted CAD and layout, rigging and floor loads, route, services, staffing, schedule and project permits are still needed. The manual includes charges, minimums and changeable terms; this guide does not turn them into a quote or establish reserved services.
Separate provider technical review, venue acceptance, the organizer’s contract and authority approval. Submitting information, signing terms and receiving approval are separate actions. No documents were sent or signed during this review.
Frequently asked questions
Can my outside AV company budget for a house-audio patch?
Do not assume so: the 2026 manual reserves the system to Encore and requires outside providers to supply complete audio. Confirm any scope change in writing with the hotel and Encore.
Are the 100 lb and 500 lb thresholds building capacities?
No. The first concerns the suspension method; the second concerns protection when moving crates. Neither establishes point WLL or area, wheel or concentrated floor capacity.
Which conflicting deadline should I use?
Obtain written clarification from the hotel and establish an event calendar. Do not choose the shortest deadline or equate delivery with approval. Retain each section reference and the agreed reference date.
