Gaylord Rockies, Aurora: rigging plans, loads and services
Gaylord Rockies Resort & Convention Center is at 6700 North Gaylord Rockies Boulevard, Aurora, Colorado. Identify the contracted room and division before planning LED, audio or structures. This informational guide does not establish a booking, an approved design or past GLMedia work.
Which venue and plan apply to the installation?
ID GAYLORD-ROCKIES identifies Aurora, CO, not the Colorado Convention Center in Denver or another Gaylord. Aurora Ballroom and Aurora Exhibit Halls are spaces at this property. Do not transfer Aurora plan values to Adams, Colorado, Juniper, Lodge or Mountain View Pavilion.
Encore’s local page links separate ZIP files by space. The complete Aurora Exhibit Halls 1–3 and Aurora Ballroom PDFs within two ZIPs were reviewed; their filenames identify them as 2021. Continued linking alone does not establish the contractual revision or current condition of each point.
What information do the two Aurora plans publish?
The table summarizes the PDFs without treating them as current authorization to use the system. Each plan distinguishes rigging symbols from speakers, lights or other ceiling elements. An installed-system symbol does not establish an available rigging point.
| Item in PDF identified as 2021 | Aurora Exhibit Halls 1–3 | Aurora Ballroom |
|---|---|---|
| Drawn points | 417 | 130 |
| Plan area | 126,542 sq ft | 47,573 sq ft |
| Maximum / minimum ceiling | 25 ft / 13 ft 6 in | 36 ft / 30 ft |
| Published rigging point WLL | 1,000 lb | 1,000 lb |
| Use limit | Approximate plan; revision and loads to confirm | Approximate plan; revision and loads to confirm |
How are loads reviewed, and who handles rigging?
Both plans’ notes require disclosure of all rigged items regardless of weight, verification of point-load calculations and approval of loads by Encore Rigging Services before load-in. They prohibit hanging from airwall tracks and assign hoists and control to Encore. Confirm that scope under the revision applicable to the event.
Prepare complete LED, audio, truss, hoist, cable and accessory weights, locations, point forces and load combinations. The plans describe intermittent show and event use, not permanent support. Mention of chain motors generating dynamic loads does not accept every dynamic effect or replace system calculations.
Do all sources agree on areas and heights?
The Aurora Exhibit Halls 1–3 plan shows a different area from Marriott’s commercial Aurora Exhibition Hall row, which lists 174,115 sq ft and a 30 ft height. Aurora Ballroom agrees at 47,573 sq ft between the plan and Capacity Chart, while another web description uses 59,467 sq ft. The same perimeter or configuration was not confirmed across these figures.
Do not choose the largest figure or add spaces to resolve the difference. Confirm the revision, contracted area and obstructions in the CAD. Maximum ceiling height, minimum height and usable rigging trim height are separate values. Reference occupancy also does not automatically allow for staging, LED and circulation.
What floor and equipment-access information still needs verification?
Allowable floor loads by area, wheel or concentrated support, and freight-elevator or ramp capacities were not verified. For a ground-supported LED wall, obtain zone-specific limits and document base reactions, load distribution and the travel route before selecting the system.
Coordinate the assigned dock, appointment, usable door opening, turns, level changes, operator and surface protection. Marriott describes parcel receiving and handling charges; that does not establish a production freight route, dock booking or equipment custody.
What is the scope of AV, power and internet services?
Marriott identifies Encore as an AV partner. Encore’s local page also lists internet, power distribution and rigging. These are service categories, not proof of circuit availability, bandwidth, equipment inventory or overall AV exclusivity. Do not apply wedding-package terms to a convention contract.
| System | Event confirmation required |
|---|---|
| AV and interfaces | Outside-equipment scope, house-system access, patching, operation and staffing. |
| Power | Provider and contractual scope, voltage, phases, connectors, circuits and available power. |
| Internet | Responsible provider, contracted network, capacity, segmentation and connection testing. |
| Rigging | Current CAD, points, forces, hoists and control under plan notes; acceptance before load-in. |
What should be ready before load-in, and which deadlines need confirmation?
The plan notes place load review before load-in, but a current deadline in days for orders, plans or changes was not verified. Do not adopt another Gaylord’s calendar. Prepare load-in, testing, show and load-out schedules, layout revisions and staffing lists to confirm deadlines and coverage.
As a technical recommendation, coordinate RF inventory, bands and concurrent spaces with the local team and check onsite conditions. No current RF list or specific current haze, fog, laser, pyrotechnics or cold sparks policy was verified. Submit these effects for review if included in the project.
Which acceptances and permits are needed before finalizing the project?
Before finalizing, obtain the accepted plan, authorized limits and loads, route, services, staffing and confirmed schedule. A provider’s rigging review does not replace hotel acceptance, the contract or permits from the relevant authority.
The organizer coordinates the program, layout and event requirements; each authority decides within its remit. This guide helps prepare the inquiry and track open items. It does not certify engineering, physical operation or approvals.
Frequently asked questions
Can point counts be multiplied by WLL to establish a total load?
No. Drawn quantities and reference WLL do not establish simultaneous or remaining capacity. Individual, combined and system forces require current-plan review and project acceptance.
Does ground-supported LED avoid capacity review?
No. It changes how loads reach the floor. Bases, reactions, route, protection and stability still need verification; those capacities were not confirmed for this installation.
Are Encore’s ZIPs a general manual for the entire resort?
No. The two reviewed PDFs cover Aurora spaces and have their own notes. Not all ZIPs were read, and a current comprehensive manual was not confirmed. Other rooms and the contract need specific documentation.
Official documentation
Reviewed October 23, 2026; continuity cutoff October 18. Official Marriott and Encore sources. Two PDFs identified as 2021, linked by the local page, were reviewed visually in full; contractual validity remains to confirm. Relevant Marriott rows and descriptions were compared without assuming how differences should be reconciled. No approved calculations, permits or physical testing.
