Hilton Anatole, Dallas: drawings, rigging and room load limits
HILTON-ANATOLE identifies the Dallas hotel at 2201 Stemmons Freeway. Its room names are not separate venues. This preparation guide distinguishes Encore drawings from commercial capacities, contracts and setup acceptance. It does not establish work performed by GLMedia.
Which room, subdivision and drawing apply to the event?
All seven PDF drawings in the Chantilly, Grand, Imperial, Stemmons and Trinity Complex packages were read in full. Trinity includes I Expo Hall, II Ballroom and the complex. A filename does not establish inspection date or the revision applicable to your contract; the drawings describe themselves as approximate.
Hilton and some drawing title blocks publish different areas, particularly for Stemmons and Trinity. The Trinity II title block repeats complex data. Do not choose the larger figure or add areas to resolve this: request current CAD and boundaries, subdivision, usable heights, obstructions and an accepted layout.
Which limits appear on the drawings, and why are they not universal?
The table summarizes PDF notes to prepare a review; it does not certify available capacity. Trinity prohibits side loading of the steel. Joist notes specify total loads across the entire span, not permission to apply that load at every location on the same member.
In Trinity II, joist loads are deducted from the corresponding main-truss panel-point capacity. Do not add the values as independent capacities. For every room, equipment dead weight, motors, cables, angles, reactions, combinations and remaining capacity still need verification.
| Drawing / space | Published note | Review condition |
|---|---|---|
| Chantilly | 700 / 750 / 1,000 lb per point, by color. | Match each point to its legend; no single value. |
| Grand | Limits depend on the number of points per beam. | Read the full note, distribution and obstructions; no uniform WLL assumption. |
| Imperial | 1,000 lb; intermittent event use. | Validate the point, combinations and motor application. |
| Stemmons | 500 lb; exception involving 2 points on a truss line. | Clarify distribution and scope before applying the exception. |
| Trinity I | 250 lb total per joist; 500 lb per main-truss panel point. | Vertical load, complete span and exact structural member. |
| Trinity II | 500 lb total per joist; 1,000 lb per main-truss panel point. | Deduct joist loads from the corresponding main point; no side loading. |
What must the rigging plot include for review?
Encore notes require disclosure of every flown item, verification of point loads before load-in and load approval before installation. They state that Encore supplies hoists and control, and prohibit hanging from airwall tracks.
Prepare one coordinated plot with point IDs, equipment, complete weights and reactions. Grand distinguishes obstructed areas and access to steel: a ceiling opening is not itself an approved point. DWG/VWX files are included in the ZIPs but were not opened or validated in CAD during this review.
What do the historical PSAV deadlines mean?
The six-page PSAV PDF, hosted on Encore’s document domain and labeled 2020 in its URL, is not among the page’s five current resources. It is background for requesting updated terms, not a confirmed current contractual rulebook.
It distinguishes submission from approval for advance pricing and gives different submission recommendations. Confirm the schedule in writing. None of these deadlines establishes permit issuance or project acceptance.
| Historical PSAV reference | Listed timing | Scope and open item |
|---|---|---|
| Suggested submission, p. 1 | 45 days before load-in. | Recommendation to allow review and adjustments. |
| Certified and approved plan, pp. 1 and 3 | 21 days before load-in. | Advance-pricing condition, not a permit deadline. |
| Suggested submission, p. 3 | 21 days before load-in. | Differs from p. 1; request the current schedule. |
| Changes/cancellations, p. 6 | Less than 72 hours. | Historical pricing consequences; confirm the current contract. |
How should crew, truss, motors and lifting equipment be confirmed?
The historical PSAV document reserves truss, motors, hardware and rigging, including ground-supported structures, and describes minimum crew and billable calls. Confirm the current scope with Encore and the hotel; do not turn that historical policy into an all-AV exclusivity claim.
For lifts and towers, request accepted equipment, maintenance records, manufacturer WLL, loads, ballast and route. Historical nonmarking-wheel and carpet-protection rules do not establish floor capacity or approve outside equipment.
Which electrical restrictions appear on the drawings?
Grand depicts electrical services; Stemmons identifies transformers A and B. Do not add outlets as independent supplies or treat symbols as reserved power.
Trinity drawings state that only one 400 A service can be used at a time. Confirm how this restriction applies to the selected room and event, shared supply, voltage, phases, connectors, authorized labor and distribution. No power order or contractual exclusivity across all services was verified.
What remains to be checked for loading, floors, audio and networking?
Imperial marks a freight elevator and Stemmons a dock. Those symbols do not provide current rating plates, floor capacity, door clearances, turning space or an appointment. Request current specifications for the complete route, wheel/support loads and protection. FedEx does not mean production freight is booked.
Encore advertises AV, internet and power distribution at the venue. This does not establish house-audio access, a patch, RF, dedicated networking, bandwidth, outside-vendor policy or blanket exclusivity. As a technical recommendation, define interfaces, devices and tests before finalizing streaming or screens.
Which acceptances remain before the setup can be finalized?
Applicable CAD/revision, room boundaries, point and combined loads, floors, trim height, power, route, crew, network, insurance, effects and event permits remain to be accepted. No published value replaces this review.
Separate Encore’s technical review, hotel acceptance, the organizer’s contract and authorization from the relevant authority. Historical prices, minimums and charges are not a quote or reservation. This guide prepares the scope and does not order services.
Frequently asked questions
Can Chantilly’s highest load value be used in every room?
No. Drawings distinguish points, colors, beams, joists and combined loads. Use the exact space’s document and obtain acceptance of the reactions and complete setup.
Can Trinity joist and main-truss capacities be added?
Do not treat them as independent. The Trinity II note deducts joist load from the corresponding main panel-point capacity. Calculations must check both members and their combinations.
Does the historical PDF confirm current deadlines, prices or permits?
No. Its terms need reconfirmation with the hotel and Encore. Technical approval, commercial terms and event permits are separate checks.
Official documentation
Reviewed October 23, 2026; continuity cutoff October 18. Official Hilton and Encore sources. Seven PDF drawings identified as 2024 in filenames, read in full; approximate drawings for preplanning. PSAV PDF labeled 2020 is historical with unconfirmed contract validity. Area discrepancies, CAD, combined loads, floors and acceptances remain open.
