Gaylord Palms: rigging, FSE permits and effects in Osceola
Gaylord Palms is at 6000 West Osceola Parkway, unincorporated Osceola County, with a Kissimmee postal address. For LED in Coastal Ballroom, use that room’s plan and separate structural review, rigging and power.
What can the Coastal drawing establish?
The sheet lists 30,417 sq ft and 24 to 25 ft height. All suspended items must be disclosed, point-load calculations verified before load-in and loads approved by Encore Rigging Services. It prohibits hanging from airwall tracks and assigns all hoists and control to Encore. Submit panels, bars, hoists, truss, cable and accessories with positions and reactions. Individual WLL does not resolve simultaneous loads, structural interaction or lifting sequence; request current review and drawing without transferring figures to Osceola Ballroom or exhibit halls.
| Item | Published data | Check |
|---|---|---|
| Coastal Ballroom | 30,417 sq ft;24–25 ft | Confirm usable elevation at the selected position. |
| Points | 140;1000 lb WLL | Verify revision, reactions and approval without adding capacities. |
| Power | Separate rigging order in the 2026 portal | Confirm provider, voltage, phases and delivery. |
Does rigging pricing include power for motors and the screen?
The August 2026 exhibition portal identifies Encore as exclusive rigging partner and states that motor, lighting and AV power must be ordered separately and is not included in its price. Confirm that boundary and your event kit before issuing orders. Specify voltage, phases, current and delivery points for control, display and playback; do not total panel watts alone. If the assigned supply does not match, do not energize; request service correction while retaining the accepted schematic.
What remains before finalizing access, effects and changes?
The drawing is approximate and uses a postal code differing from the official 34746: obtain the hotel’s dock, door, turns and slot before dispatch. The August 2026 portal dates concern that exhibition. Floor loads, insurance, quotation and actual event authorization remain pending; follow the Osceola FSE and effects checks below.
Who submits the FSE and when can the event open?
For an exhibition or production involving rigging, staging, risers, lighting or scenery, coordinate Osceola Fire Special Event classification with the hotel. The document requires a complete application no later than 21 business days before the event; this is neither another county’s 21 calendar days nor Encore’s commercial deadline.
The venue operator submits the FSE; a contractor preparing the application must work under hotel oversight. Provide room and division, dates and times, area, anticipated attendance, exits, aisle widths, booths, registration and Crowd Manager documentation. Obtain the Approved stamped plan with its date and revision.
Application approval does not complete inspection: the Lifesafety Inspection is then scheduled using the FSE number. The exhibition cannot open without Fire Marshal approval. Submit major approved-plan changes as Revision after Issuance; do not rely on the prior plan after changing the scope it covers.
| Review | Required document or outcome |
|---|---|
| Complete FSE | 21 business days before the event |
| Inspection | Schedule after approval using the FSE number |
| Major change | Revision after Issuance before execution |
What must be resolved before testing haze or lasers?
For haze or smoke, disclose equipment, fluid, position and timing to the hotel. Osceola requires Fire Watch if detectors will be bypassed or the Fire Marshal requires it; its document does not automatically require it for every fog use without those conditions. Confirm the plan with the venue before testing: the AV operator must not alter the alarm.
If an authorized system intervention is required, the venue must arrange communication with its attended station, emergency dispatch access, restoration and the alarm log. The designated responsible person remains until normal status is confirmed. Keep the effect off if this coordination is missing.
For a laser, first check the room and class: Prohibited Materials excludes Class II or higher lasers from exhibit halls. The Laser Permit section does not remove that restriction; obtain a written Fire Marshal determination for the actual space and equipment before including the effect. The application requests class, FDA accession and variance, positions, beam paths, audience and reflective surfaces; outdoor skyward use adds beam information and a copy of FAA notification.
Florida DOH registration and the local permit are separate processes. Laser Radiation Requirements 4.005 requires written DOH notice at least 20 days before using equipment brought from another state, unless an exemption applies. For Class IIIb or IV, also verify the FDA variance approval letter and its conditions; an application or accession number does not replace it.
Frequently asked questions
Do 140 points at 1000 lb permit 140,000 lb?
No. These are point figures on an approximate sheet, not aggregate building capacity or approval of a load distribution.
Can my own motors be used with this plan?
The sheet assigns all hoists and control to Encore. Confirm current scope before preparing outside equipment.
Can the August 2026 portal deadlines be reused?
No. They belong to that exhibition. Obtain the exact event’s deadlines, pricing and loading slot.
Is a talk with an external LED display exempt as a conference?
Do not assume so. The conference exception requires host-owned and host-installed furniture, staging, screens and drapes previously approved, no exhibition and normal venue operations. External rigging requires scope review with the hotel and Osceola.
Does the FSE permit authorize flying the display?
No. The event safety plan and inspection do not replace the current point drawing, point-load calculations and Encore approval for the actual installation.
