Hynes, Boston: rigging, floors and AV freight N098 | https://glmedia.tech/technical-help/hynes-boston-rigging-pisos-carga/ John B. Hynes Veterans Memorial Convention Center in Boston is a different building from MCEC/BCEC. Identify the hall, Auditorium, Ballroom or meeting room and its actual use before applying a technical requirement. The 2026.2 manual requires MCCA approval for aerial rigging and defines exclusive services by space and function. AV vendors do not unload independently: the general contractor takes equipment to a central location, then the AV company distributes it. Confirm the event plot, crew, route and services. Which documents apply to this building? Use the Hynes Event Planning Guide and Client/Exhibitor Ordering guides for the event year. The February 2026 spec sheet describes dimensions and heights; it is not a rigging plot or confirmation of available capacity. Do not apply an MCEC manual to Hynes. Record the revision, room, use and decision owner. Request the current point plot, individual and combined load limits, and operating conditions. This guide does not calculate or certify the system. Where is rigging allowed, and who performs it? ERSP is MCCA’s designated exclusive rigging service provider. Scope changes with the space and Auditorium use. The exception for limited non-motorized signage does not extend to motors, truss or ground-supported structures. Space and use | Published rule | Confirm Exhibit halls and Auditorium as exhibit space | Motorized rigging, truss and crank-ups through ERSP; limited non-motorized signage may be handled by GSC. | Sign eligibility, loads and approval. Ballroom and Auditorium as general session | ERSP for truss, motors and flown or ground-supported rigging within the manual’s scope. | Equipment, assembly, operation and crew. Lobbies, registration and pre-function | Aerial rigging prohibited except North Rotunda with preapproval. | Location and method; truss or motors require ERSP. Meeting rooms | Aerial rigging prohibited; crank-ups and truss subject to the exclusive operator. | Ground-supported alternative and design acceptance. Include complete equipment, weights, supports, forces, heights and cabling in the proposal. Seating capacity or ceiling height does not establish an available rigging point. Do not attach to ducts, pipes or infrastructure without recognized load capacity. Which floor loads and protection need review? The manual provides these area load references. They are not wheel or truss-support ratings; compare operating weight, footprint, distribution and the entire route. Area | Published reference | Required review Exhibition halls | 250 lb/ft² | Concentrated loads, wheels and route. Ballroom | 100 lb/ft² | Supports, ballast and protection. Pre-function, lobbies and registration | 100 lb/ft² | Circulation, loads and finish protection. The manual prohibits mechanized equipment in lobbies, meeting rooms and carpeted areas, and restricts vehicles on tiled or stone floors. Confirm the permitted route, carts, protection and operators for allowed equipment with MCCA. An area load limit does not authorize a machine. Who unloads and distributes AV? The GSC unloads AV from the dock to a designated central location. From there, AV employees distribute equipment within the building and return it to that location at strike; the GSC reloads it. Agree on receiving, custody and timing. Privileges for exhibitor employees moving their own booth do not authorize AV vendors to unload their equipment. Separate that exception from exclusive rigging, stagehand engagement and venue-equipment operation. How are power, audio and networking coordinated? MCCA exclusively provides electrical and internet services. Connections are made by its personnel or designated provider; permanent outlets are not included for unrestricted event use. Submit demand, voltage, phases, connectors, circuits and locations. Built-in audio has an exclusive operator; a preferred AV provider does not establish exclusive supply of all equipment. Confirm interfaces and operation. The manual says rooms 301, 303, 305 and 307 lack that audio system. Complimentary Wi-Fi is an unmanaged user service; it does not establish a reserved streaming or control link. Request wired networking and contractual scope for critical service. Do not install your own Wi-Fi without written MCCA approval; coordinate RF and recovery testing too. What needs checking at the freight entrance? The manual places dock access on Cambria Street and distinguishes direct Hall B access from freight-elevator routes. Confirm the assigned dock and elevator, complete package, doors, turns, weight and protection; do not choose a route from an elevator’s capacity alone. MCCA controls freight-elevator schedules and priority and may assign operators. Do not use passenger elevators or escalators for equipment. Coordinate trucks, receiving and storage; a room reservation does not establish shipment acceptance. What limits apply to haze, fog and pyrotechnics? Haze or fog requires MCCA approval and a Boston Fire Department permit. The manual limits use to the Ballroom and exhibit halls used for general sessions or special events; it prohibits use in booth display areas and meeting rooms. A firefighter detail is required for rehearsals and the event, determined with Public Safety and BFD. Detection-system intervention belongs to the venue. The manual prohibits pyrotechnics. Request classification and requirements for cold spark, lasers or other effects; haze approval does not establish permission. Which submissions and deadlines must be agreed? The manual starts preliminary floor-plan review 10 months before the event and requests scaled plans for final approval at least 60 days before move-in. Exterior banners have a 45-day review lead time. The 21-day reference for exhibitor sign orders concerns the commercial ordering structure; it does not replace design acceptance. Final room configurations are requested 72 hours before the first contracted date. Gather plots, loads, services, schedules and owners with time for corrections. Venue acceptance, authority permits and organizer obligations are separate milestones. Does ceiling height confirm where I can hang equipment? No. Request point identification, allowable loads, forces, cable routing and assembly acceptance. Published height is a spatial reference. Is a small sign exempt from approval? No. The GSC non-motorized option depends on dimensions, weight, points and applicable package conditions; it remains subject to MCCA inspection and acceptance. Can my AV vendor unload under the exhibitor self-service rule? That permission cannot be inferred. The manual separates GSC AV unloading, internal distribution by the AV company and exhibitor work on its own booth. Document review: October 23, 2026.
