Gaylord Texan, Grapevine: rigging, services and production access N102 | https://glmedia.tech/technical-help/gaylord-texan-grapevine-rigging-servicios-carga/ Gaylord Texan Resort & Convention Center is at 1501 Gaylord Trail, Grapevine, Texas. This preparation guide separates the resort’s spaces, documented production rules and information your installation still needs. It does not establish a booking, approved engineering or past GLMedia work. Identify the room and configuration before specifying rigging or LED. Encore still links Production Guidelines 2024: this is a dated reference, and the revision applicable to your event needs confirmation. Allowable floor, wheel and ceiling-point loads were not verified for the installation. A marketing floor plan or clear height cannot establish them. Which space and documents apply to the event? ID GAYLORD-TEXAN identifies Grapevine, not Opryland, National, Rockies or Pacific. The guide linked by Gaylord places Longhorn Exhibit Halls on convention center level 1, Texas and Grapevine Ballrooms on level 3, and Tate Ballroom on Vineyard Tower level 2. Confirm these names and the contracted area on the event plan. Marriott pages help identify rooms, plans and services. The local provider’s document addresses outside production. The commercial guide is not an approved rigging plan, and Encore’s general service listings do not establish a specific technical capacity. Marriott’s Capacity Chart lists these areas and heights in feet: Longhorn Exhibition Hall, 179,520 sq ft and 24 ft; Texas Ballroom, 49,025 sq ft and 24 ft; Grapevine Ballroom, 32,375 sq ft and 24 ft; Tate Ballroom, 32,010 sq ft and 26 ft. These are geometric references for the complete spaces, not allowable loads or accepted rigging trim heights. Divisions, obstructions and production can reduce usable area or height; confirm the specific plan. Item | Verification and limit Longhorn / Texas / Grapevine / Tate | Separate spaces on the map; use the reserved room plan and division. Floor and access route | Area, wheel and concentrated support loads not verified; obtain zone-specific limits. Ceiling and points | No confirmed point WLL or remaining capacity; obtain CAD and load acceptance. Production guidelines | 2024 file linked by Encore; event contractual revision still to confirm. What rigging and truss scope does the document assign to Encore? Production Guidelines 2024 assigns meeting-space rigging design, installation and removal to Encore, including banners and marketing hangs, and restricts ceiling access to its certified riggers. It also assigns crank towers, flown truss and ground-supported truss structures with multiple floor contact points and horizontal members, such as goalposts or boxes, to Encore. Do not turn that scope into exclusivity for all audiovisual equipment or every vertical support. Confirm its current application in writing. Prepare complete LED, audio, truss, motor, cable and accessory weights, positions, individual point forces and combined forces. The described safety review does not by itself establish structural approval or a permit. When are plans and schedules due? The 2024 document calls for the rigging request and a scaled plot 21 days before load-in, and a complete load-in/load-out schedule with diagrams for all meeting spaces 14 days before load-in. For guest-room or suite AV, it states 14 days before the event. These are deadlines in a dated document and need confirmation for your contract. Keep these milestones separate: submission does not equal acceptance. Include general sessions, breakouts and exhibitors, layout revisions and work hours. The document requires an Encore Convention Supervisor during ballroom and meeting-space move-in and move-out. Confirm coverage, staffing and current charges; older prices are not a quote. How should the floor and load-in route be prepared? The document requires carpet protection before move-in and move-out, including equipment and road-case travel paths, storage, production areas, and areas under stages and backstage. Protect surfaces under display vehicles as well. This prevents damage; it does not increase structural floor capacity. Obtain an accepted production route: assigned dock, appointment, usable door opening, ramps, turns, level changes and, if applicable, freight-elevator dimensions and rated load. These capacities were not verified for the event. For a ground-supported LED wall, document total weight, base reactions, load distribution and circulation before selecting the system. Marriott describes FedEx Office package receiving with charges and authorized receipt. A parcel does not establish production freight arrangements, a dock reservation or equipment custody; coordinate these separately. Who manages house audio, lighting, power and internet? The dated guidelines distinguish permanent hotel systems from outside equipment. Do not assume an AV order includes circuits, network service, house PA access or operating staff. Service | Documented scope and required confirmation Permanent audio and ballroom lighting | Permanent audio under hotel control; outside interfaces supervised by Encore. The document calls for an Encore technician for ballroom PA or lighting access. Confirm patching, operation and cost. Power and internet | The guidelines explicitly state Encore does not manage them at this property. Confirm the provider, circuits, connectors, capacity and contracted network with the hotel. Outside equipment | Define authorized scope, interfaces and staffing; do not infer overall AV exclusivity throughout the center. Stages and backstage | Carpet protection under the document; floor capacity and support distribution still require acceptance. Can the frequency table serve as an RF plan? No. The document’s final page lists frequencies reserved by Encore and assigns scanning and professional coordination to the outside production team. It is a dated list, not a current RF plan or authorization to transmit. Prepare microphone, in-ear and intercom inventories, equipment bands, concurrent spaces and test times. Coordinate the current list with the local team and check the onsite environment before and during the event. This guide does not reproduce channels or establish spectrum availability, licensing or compatibility. What changes at Glass Cactus and in suites? The 2024 document assigns exclusive Glass Cactus AV and guest-room/suite AV installation and removal to Encore; it restricts outside vendor access to guest rooms and suites. Confirm the applicable revision and exact scope with the hotel before committing equipment or staff. Glass Cactus is a distinct resort space with a separate dated information packet. Do not transfer its equipment inventory, stage, power or show conditions to Longhorn, Tate or another ballroom. This difference in scope does not call for a duplicate venue ID. What remains to be accepted before finalizing production? An accepted plan and configuration, floor and route limits, authorized points and forces, contracted services, staffing and a confirmed schedule are still needed. Hotel acceptance, provider review and permits from the relevant authority are separate steps. No current haze, fog, pyrotechnics, cold sparks or laser policy was verified in the reviewed sections. If included, submit their classification and documentation for specific review; AV or rigging availability does not authorize these effects. The organizer coordinates the layout and program; technical recommendations do not replace a contract or permit. Does a ground-supported LED wall avoid all rigging and floor review? No. Bases load the floor and must comply with the accepted route and load distribution. The 2024 document also includes certain ground-supported truss structures within Encore’s scope. Confirm the actual design and applicable review. Does the linked manual establish current terms for my date? Not by itself. Encore currently links it as Production Guidelines 2024. Confirm the edition, contract, charges, deadlines and event responsibilities before placing orders; this guide does not confirm a booking. What should be ready for a technical inquiry? Room and division, dates, scaled layout, complete weights, support or point reactions, shipment dimensions and route, service list, RF inventory, effects and schedule. Separate verified information from pending capacities and authorizations. Document review: October 23, 2026; continuity cutoff: October 18. Official Marriott/Gaylord and Encore sources. The space map was consulted in the viewer; the full commercial guide was not reviewed. Production Guidelines 2024 was read in full; contractual validity for the event was not confirmed.
